Why Supply Chain Transparency Is Now a Buying Requirement in the EU

European buyers increasingly ask not just what is in the product but who made it, where the materials came from and how the batch was documented. This is no longer a differentiator offered by the best suppliers — it is becoming a condition of doing business with serious European customers. If you cannot document your supply chain, you are excluded from those channels.

What Is Changing

  1. What is driving the shift?
A combination of regulation, retailer policy and consumer expectation. European rules on due diligence and product claims have tightened, and large retailers have responded with their own supplier requirements that go beyond the legal minimum.
  2. What does transparency mean in practice?
Being able to name the manufacturing site, trace the key materials to their origin, and produce documentation for a specific batch on request. It is about evidence, not statements.
  3. Does it apply to me if I am the brand, not the factory?
Yes. The obligation to document generally lands on the brand or the importer into the EU. If you cannot get the information from your manufacturer, you cannot meet the requirement, no matter where you are based.
  4. Why does it matter for sourcing decisions?
Because a supplier that cannot produce batch-level documentation is now a commercial liability in the EU. It is one of the reasons buyers increasingly prefer to deal with factories directly.

What a Buyer Will Ask For

  1. What documents might be requested?
A specification, a Certificate of Analysis per batch, the manufacturing site and its licence, origin documentation for key materials, and the audit status of the plant. Some buyers ask for more, depending on the ingredient.
  2. How specific does traceability have to be?
It varies, but the expectation is moving toward being able to trace a key ingredient from the finished batch back to a named supplier of the raw material. The more sensitive the ingredient, the higher the expectation.
  3. What about social and environmental criteria?
Increasingly included. Buyer codes of conduct often cover labour and environmental practice at the manufacturing site, and a supplier that has not been audited on those points may fail a qualification even with a compliant product.
  4. How often is documentation updated?
Per batch for analytical documents, and annually or on change for certificates and audits. A certificate that has lapsed is as much a problem as one you never had.

Getting Ready

  1. What should I ask my manufacturer?
Ask which site runs the product, what documents they can issue per batch, and how they trace key materials. Ask for a sample document set to see the format before a buyer asks for it.
  2. How do I close a gap?
Identify which documents you can produce today and which you cannot, then either build the process or change supplier. A gap you know about is manageable; one discovered during a buyer audit is not.
  3. Does this change the cost?
It can, because documentation and audit activity carry a cost. The larger cost, however, is exclusion from the channels that require it.
  4. What is the simplest first step?
Ask for a complete document package for one recent batch and see what you receive. That single request tells you how ready your supply chain actually is.
